I. Booking Information
1. Minimum Group Size and Guide Arrangements
The minimum group size is 2 people for autumn and shoulder seasons, and 1 person for peak season. The entire trip will be accompanied by a professional local guide who speaks Chinese or English; the specific language of the guide will be subject to the final arrangement.
2. Group Tour Details and Customer Service Contact
This is a group tour for individual travelers. Please understand that you will be traveling in the same vehicle as other guests participating in the same itinerary. If you encounter any issues during the trip, please contact Aurora Adventures customer service promptly at 907-600-3539.
3. Flight Booking Advice
We recommend that you purchase your flight tickets only after receiving the official confirmation notice to avoid losses due to the itinerary not being confirmed or being subject to adjustments.
4. Personal Belongings Care
Please properly safeguard your personal travel documents, passport, flight tickets, credit cards, cash, and other personal items. It is recommended to keep valuables with you at all times and avoid leaving them in the vehicle or entrusting them to others. During the trip, if any items are damaged, lost, or stolen due to poor personal care or other reasons not attributable to our company, the related losses shall be borne by the traveler, and our company will not assume any liability for compensation.
5. Tour Discipline and Departure from the Group
To ensure the safety of all group members and the smooth operation of the itinerary, if a traveler's personal behavior seriously hinders group activities and does not improve after repeated warnings from the guide, our guide has the right to terminate their participation in the tour. From the moment of departure from the group, all subsequent actions and related responsibilities of the traveler shall be borne by the traveler themselves, and the company will not be held responsible. Unused itinerary segments, services, and related fees will not be refunded, compensated, or transferred.
6. Entry Documents and Procedures
Before booking and traveling, please ensure that you hold a valid passport, US visa, and other necessary travel documents that meet entry requirements, and complete the EVUS registration (if applicable) or other necessary entry procedures based on your personal situation. It is recommended to confirm that your documents and procedures meet the requirements before booking our company's products.
7. Liability for Entry Denial
If you are denied entry into the United States due to personal documents, visas, EVUS registration, entry qualifications, or other personal reasons, the paid tour fees will not be refunded, and our company will not assume any responsibility for other losses or compensation arising therefrom.
8. Booking and Cancellation of Optional Activities
Daily quotas for optional activities are limited; it is recommended to book them together with your main itinerary. If an optional activity cannot proceed due to weather conditions and is confirmed as cancelled by our company and the activity provider, the paid fees for that activity will be fully refunded. If the activity is cancelled or not attended due to the traveler's personal reasons, the related fees will not be refunded or compensated.
9. Itinerary Timing
The times indicated in the itinerary are for reference only. If they differ from the times notified by the guide on-site, please follow the times notified by the guide based on actual local conditions.
10. Reference Hotels and Adjustments
The hotels listed in the itinerary are for reference only. In the event of full occupancy or other operational circumstances, our company reserves the right to replace them with hotels of the same category, subject to final confirmation and arrangement.
11. Force Majeure, Accidents, and Flight Changes
In the event that the itinerary cannot proceed as planned or may endanger the safety of travelers' lives or property due to force majeure or other unexpected events beyond our control, including but not limited to natural disasters, severe weather, strikes, major infectious diseases, government actions, road closures, traffic congestion, as well as flight or train delays, changes, or cancellations, our company reserves the right to take necessary measures based on actual circumstances, including adjusting the order of the itinerary, timing, transportation, accommodation, or sightseeing content, replacing related items, or cancelling part or all of the itinerary.
If the itinerary is adjusted, delayed, shortened, cannot be attended, or partially or fully cancelled due to the above reasons, the paid tour package fees will not be refunded or compensated. Unused hotel, transportation, guide, dining, admission tickets, and other services within the package will not be separately cashed out or refunded. This product is priced and arranged as a complete package, and the settlement arrangements between our company and relevant suppliers do not affect the application of the refund and change rules for this product, unless otherwise explicitly agreed in these booking instructions or specific product descriptions.
Flight tickets and transportation to and from the departure point of the itinerary are to be booked and arranged by the traveler themselves. If the traveler fails to arrive on time, cannot participate, or misses part of the itinerary due to delays, changes, or cancellations of flights or other transportation, the related tour package fees will not be refunded or compensated. Any resulting additional expenses for hotel extensions, transportation, dining, flight changes, and other costs shall be borne by the traveler. If actual conditions permit, our company may assist the traveler in connecting to the subsequent itinerary, subject to the feasible arrangements at that time.
12. Safety Precautions During the Trip
When stopping for sightseeing or photography during the trip, please follow the safety instructions of the guide and driver, and avoid staying in the middle of the road, vehicle traffic areas, or other dangerous zones.
If you encounter wild animals during the trip, please maintain a safe distance and follow the safety instructions of the guide and on-site staff. Do not actively approach, feed, chase, or disturb them.
If traffic accidents, personal injury, property damage, or other consequences occur due to the traveler's failure to comply with safety instructions or other personal behavior, the related responsibilities and losses shall be borne by the traveler, and our company will not assume corresponding liability.
13. Itinerary Sequence and On-site Adjustments
Depending on the traveler's arrival date, actual operational arrangements, as well as local weather, road conditions, and attraction opening status, the sequence of sightseeing, departure times, duration of stay, or specific arrangements may be adjusted, subject to the final tour departure notice and the guide's on-site arrangements.
If the main itinerary content can still be provided as normal, and only the sequence, timing, or specific arrangements are adjusted, no additional refund will be given. If parts of the itinerary cannot be arranged due to objective reasons, the related fees will be handled according to Article 11; separately paid optional activities will be handled according to Article 8.
14. Travel Insurance
Illness, physical discomfort, emergencies, as well as flight or train delays, changes, or cancellations may affect the traveler's travel arrangements. Travel insurance should be selected and purchased by the traveler according to their own situation. It is recommended to choose insurance products that include coverage for trip cancellation or interruption, accidental injury, medical and emergency rescue, and luggage loss to reduce potential losses on paid expenses such as flight tickets, hotels, and tour fees. The specific coverage, exclusions, and claims conditions are subject to the terms of the purchased insurance and the audit results of the insurance company.
15. Vehicle Arrangements
Our company will prioritize arranging 14-seater commercial vehicles based on the number of participants, amount of luggage, and actual operational conditions. Due to peak seasons, holidays, vehicle scheduling, maintenance, weather, road conditions, or other operational factors, our company reserves the right to adjust to other vehicle types suitable for the actual itinerary needs, subject to final arrangements.
16. Cancellation of Fly-to-Arctic Circle Itinerary
Flight arrangements for the Fly-to-Arctic Circle and Drive-back or Fly-back itineraries may be affected by weather and aviation operational conditions. If the aviation operator confirms that the itinerary cannot proceed due to weather and notifies our company, and our company confirms the cancellation accordingly, the paid fees for that itinerary will be fully refunded.
17. Meeting and Transfer Arrangements
Please arrive at the hotel lobby 5 minutes before the designated meeting time. Due to factors such as traffic conditions, weather, and multiple hotel pick-up arrangements, the vehicle arrival time may fluctuate reasonably. Please wait patiently in the hotel lobby.
To ensure the experience for other travelers and the overall itinerary, the vehicle will depart at the designated meeting time and cannot wait for latecomers. If a traveler fails to meet on time or cannot participate in the day's itinerary due to illness, unexpected accidents, boarding the wrong vehicle, oversleeping, or other personal reasons, it will be considered a voluntary forfeiture, and no refunds or compensation will be provided.
18. Aurora Viewing Disclaimer
The Aurora Borealis is a natural phenomenon. Its appearance, duration, color, shape, and intensity cannot be controlled and are easily affected by weather, cloud cover, visibility, and solar activity. Therefore, our company does not guarantee that the aurora will be visible. If the aurora viewing itinerary has been provided as planned but the aurora cannot be observed due to natural conditions, it will not be considered a cancellation or failure to provide service, and no refunds or compensation will be provided.
19. Winter Warmth and Electronic Equipment Protection
Temperatures in Alaska during winter are low and weather conditions can change rapidly. Please check the weather forecast before your trip and prepare cold-weather gear such as down jackets, thermal pants or ski pants, gloves, hats, snow boots, and heat packs according to your personal needs.
Electronic devices such as mobile phones and cameras may experience faster battery drainage, automatic shutdowns, battery failure, or equipment malfunctions in low-temperature environments. Please take measures to keep your devices warm and prepare backup power sources. Any consequences resulting from insufficient personal warmth or equipment protection, such as frostbite, physical discomfort, equipment damage, or other losses, shall be borne by the traveler.
20. Physical Condition and Suitability for the Tour
Pregnant women, individuals with limited mobility, and travelers whose physical condition may not be suitable for cold environments, long-distance travel, or outdoor activities should inform us when booking. If necessary, it is recommended to consult a doctor before traveling. Travelers requiring special assistance should also notify us in advance so that we can evaluate the situation based on the itinerary characteristics and actual reception conditions.
If a traveler fails to disclose physical conditions that may affect tour safety or itinerary arrangements in advance, or fails to exercise caution when joining the tour based on their own condition, any resulting personal injury, trip interruption, or other losses shall be the sole responsibility of the traveler.
II. Departure Reminders
1. The standard hotel check-out time is 11:00 AM, subject to the hotel's actual policies.
2. For domestic flights within the United States, it is recommended to arrive at the airport 2 hours in advance for check-in, baggage drop, and security screening.
3. To avoid missing your flight, it is recommended to choose a flight departing after 07:00 on the last day of the itinerary.
4. Hotel shuttle services must be reserved with the front desk, providing your room type, name in Pinyin, number of passengers, and departure time. If you require airport transfer arranged by the travel agency, please book at least 72 hours in advance; otherwise, you will need to arrange your own transportation.
5. If you need to extend your stay in Fairbanks after the tour ends, you may arrange for a hotel extension in advance.
