Your "Fireworks Festival Survival Kit" & Health Notices
☔ 1) Raincoat/Poncho (strongly suggested):
The fireworks show generally goes on in light rain. To avoid blocking the view of those behind you, umbrellas are strictly prohibited inside the viewing area.
🧘 2) Foldable Seat Cushion/Thermal Cushion (suggested):
The group reserved seats consist of traditional "blue tarp mats laid directly on the ground (no chairs)." Bringing high chairs, folding chairs, or any seating that blocks others' views is strictly prohibited. Please make sure to prepare your own portable, moisture-proof cushion, heat pad, or blanket for a comfortable sitting experience.
🧥 3) Warm Jacket or Blanket (essential):
November temperatures in the Ibaraki suburbs drop significantly at night (past events have recorded actual temperatures around 9°C, and the wind chill makes it feel much colder). Please wear a thick down jacket or windbreaker and bring hand warmers. Any winter clothing you do not need during the day can be left on your bus seat.
🔦 4) Portable Flashlight:
Lighting is limited at the venue after sunset. Carrying a small flashlight or light-emitting object will make walking safely in the crowd much easier.
🧻 5) Pocket Tissues/Wet Wipes/hand sanitizer:
The venue only has basic portable toilets, which do not provide toilet paper and do not flush due to water tank capacity limits. Although there are around 600 portable toilets around the venue, queues are extremely long before the show starts and during the fireworks. Please bring plenty of pocket tissues and plan your restroom visits well in advance.

👟 On-Site Transportation & Dining Information
👟 Long-Distance Walking :
Due to strict local traffic control near the venue, it is a 40 to 50-minute walk (approx. 3 km each way) from the bus parking lot to the viewing seats. Please make sure to wear comfortable walking shoes (such as sneakers) to participate.
🚖 No On-Site Taxi Booking:
Taxis cannot be booked or called inside or around the venue on the day of the event. Given the long walking distance between the seats and the parking lot, please carefully evaluate your physical fitness and that of your companions before booking.
🍱 Self-Catering Lunch:
Meals are not included in the tour fee. Express highway service areas (SA/PA) will be extremely crowded on the event day, so we highly recommend purchasing and preparing sufficient snacks and dry food before departure from Shinjuku.
📱 Mobile phone coverage:
During the event, due to the large number of people in the area, you may experience difficulty connecting to the network on your mobile device. This means that you may be unable to make calls, send messages, browse the internet or post on social media. If you need to separate from your group members when you are in the venue, please decide on meeting points and times in advance.
🚭 Smoke-Free Venue:
The fireworks venue is completely non-smoking, including e-cigarettes. Please do not smoke outside of designated smoking areas.
📷 No Camera Tripods:
To ensure safety and avoid blocking the view of other spectators, camera tripods are strictly prohibited in the viewing seats.
🎫 Seating & Viewing Area Guidelines
🎟️ Random Seating Assignment:
Group viewing seats are assigned randomly by the system and the tour guide on the day of the event. We are unable to accept requests for specific seats.
🎇 Partially Obstructed View:
Due to the angle of the group reserved seats, some specialized low-altitude "set-piece" (仕掛け) fireworks or low-flying displays may be partially blocked from view. We appreciate your understanding.
❌ Cancellation/Postponement Policy & Force Majeure Disclaimer
❌ Cancellation Before Departure & Refund:
The fireworks show generally runs in light rain. However, if severe weather (such as strong winds or heavy storms) causes the organizers to cancel or postpone the event prior to the day before departure, the tour will be cancelled and you will receive a full refund of your tour fee.
🔄 Post-Departure Cancellation Policy:
If the organizers suddenly announce the cancellation or postponement after the bus has departed, the bus will be rerouted to alternative sightseeing attractions. In this case, we will refund the equivalent value of the fireworks viewing ticket, but we cannot refund the bus and transport costs due to the change in itinerary.
If the fireworks display has already started and is cut short midway due to force majeure, no refunds will be provided.
⏱️ Same Morning Cancellation Notice:
The final decision to cancel or change the event may sometimes be made on the morning of the tour. In this case, we will contact you as soon as we receive official word. Please note that if you have already set off to the Shinjuku meeting point before receiving our notice, we cannot reimburse your personal travel expenses.
🏛️ Force Majeure Regulations:
The fireworks festival may be cancelled or altered at any time based on requests from the Japanese government, local municipalities, or other official authorities.
🚌 Bus Operation & Late-Night Return Policy
🚌 Waiting Onboard the Bus:
Due to severe local traffic congestion, you may need to wait inside the bus for extended periods upon arrival at the venue, during parking, or when preparing for the return trip. The itinerary schedule may be flexibly adjusted based on real-time road conditions.
⏱️ Possibility of partial time viewing:
The departure schedule is timed around the festival. However, due to unexpected traffic gridlocks, sudden changes to the event's timeline, or strict local traffic control hours, we may need to depart before the very end of the show to ensure the bus can safely exit the parking zone on time.
🚕 Late-Night Return & Self-Arranged Transport:
With 800,000 people leaving the venue simultaneously, highways will experience severe gridlock. The estimated return time to Shinjuku is late at night (around 23:30 or later). If traffic delays cause you to miss the last train or subway to your hotel or accommodation, any taxi fares, overnight hotel stays, or other late-night expenses must be arranged and paid for by the traveler. Our agency cannot bear these costs. Thank you for your understanding and cooperation!
Reminders
Punctuality & Departure: Please strictly observe the designated meeting time. The tour bus will depart on schedule at the sole discretion of our staff, and we will not wait for late arrivals.
- Itinerary Changes: The scheduled times and itinerary details listed are subject to change or adjustment depending on real-time traffic and road conditions.
Delay & Accommodation Disclaimer: In the unlikely event that a delayed arrival forces you to use alternative transportation (such as taxis) or secure overnight accommodation, our company will not be liable for any such expenses or claims under any circumstances.
Vehicle Type: Depending on the final number of tour participants, a mid-sized or mini-bus may be utilized instead of a standard large tour bus.
Onboard Restrooms: Please be advised that the tour bus is not equipped with restroom facilities. We will stop once at a service area during the transfer journeys.
Onboard Rules (Smoking & Reclining): Smoking is strictly prohibited inside the bus. Please be mindful of passengers seating behind you if you want to recline your seat.
- Non-Utilization of Benefits: No partial refunds or compensations will be provided if you choose not to use or participate in any included tour benefits, privileges, or activities.
- Special Assistance & Requests: If you require special arrangements or medical assistance, you must inform our staff when booking. We will accommodate such requests within reasonable limits (additional fees may apply). Depending on the circumstances, we may request that you submit a formal written declaration regarding your situation.
- Compliance with Labor Laws (Tour Conductor Rest Period): In compliance with the ""Work Style Reform Act"" (enforced April 1, 2019) which mandates statutory limits on working hours for tour conductors, the conductor’s meal times during the itinerary will be designated as official rest periods. Additionally, the conductor may stay at a different location than the guests. During free-time periods, guests are expected to manage their own activities independently.
Lost and Found Policy: Lost property items will be held for a maximum of two weeks following the conclusion of the tour. However, perishable items, food, or goods that are difficult to preserve will be disposed of immediately. Thank you for your understanding.
Pet Policy: Pets and animals are strictly prohibited from participating in this tour.
Seat Assignments: All seat assignments on the bus will be determined entirely by our company.
Emergency Seating: Please note that in the event of an emergency or unavoidable operational circumstances, you may be required to share a seat row with the tour conductor.
Request Limitations: Please note that we may not always be able to fulfill specific requests regarding bus seat assignments or dietary allergies. We reserve the right to decline such requests prior to booking after providing an explanation.
