1. Orders must be placed at least one day prior to departure.
2. Please specify the pick-up and drop-off locations and addresses when placing your order.
3. Please be sure to leave your contact information (phone number and LINE ID or WeChat, and enable friend request settings). Our local staff in Japan will contact you immediately. If we are unable to reach you due to your own issues, we will not be able to issue a refund or make any changes.
4. Please be sure to provide the correct number of passengers (adults and children) and the number of pieces of luggage.
5. Please be sure to order a vehicle that matches the number of passengers. If the number of passengers does not match the vehicle, the merchant has the right to refuse your order. If, upon arrival at the site, there are passengers or luggage that do not meet the regulations and exceed the passenger capacity, resulting in safety issues, the driver has the right to terminate the service that day, and the merchant will not be held responsible and will not provide a refund.
6. The destinations for the private charter car will be planned and informed by the passenger in advance. Any issues with the route will be coordinated and communicated to you in advance. Passengers are solely responsible for any delays or other problems caused by unclear self-arranged itineraries.
7. If you have a lot of luggage or it is large, we recommend that you book a suitable vehicle to accommodate all passengers and luggage, so as to avoid overcrowding and inconvenience. If the vehicle cannot be driven or other additional costs are incurred due to failure to meet the reasonable number of passengers and luggage capacity of the vehicle, the passengers shall bear the costs themselves.
8. The vehicle models listed are for reference only. If we cannot provide the vehicle models and color requirements listed above, we will arrange for a vehicle of the same class instead.
9. Japanese law requires children under 6 years old to use child safety seats (children need to occupy 1-1.5 seats). Please inform us in advance of the number of child seats needed. One safety seat will be provided free of charge. For each additional child seat, an additional 2,000 yen will be charged, which must be paid to the driver before boarding.
10. The vehicle usage time is within 10 hours (based on the time from the scheduled time to the time of getting off at the end of the trip). If the usage exceeds 10 hours, an overtime fee of 2,500 yen per 30 minutes and 5,000 yen per 60 minutes will be charged (after the trip, it will be calculated in 30-minute increments and should be paid to the driver at the end of the trip).
11. Due to road regulations, drivers must wait at parking lots at each stop on the itinerary. The parking fees incurred during this period will be paid by the passengers. The driver will advance the expenses during the trip and collect the parking fees from the passengers by presenting the receipt after the trip.
12. If traffic congestion caused by traffic accidents, natural causes, or traffic control results in overtime, an overtime fee will still be charged. The overtime fee will be shared equally by the passenger and the tour company and will be handed over to the driver after the passenger is dropped off at the hotel at the end of the trip.
13. If you wish to take the Arashiyama Scenic Railway, it is recommended that you take it from Arashiyama Station to Kameoka Station and then proceed to JR Umahori Station to take the JR line back to Saga-Arashiyama Station. If you require a driver to pick you up from Kameoka Station, you will need to pay an additional 5,000 yen for transportation and toll fees, which should be paid to the driver after the trip (as the journey from Arashiyama Station to Kameoka Station involves taking the highway and takes 40 minutes).
14. In case of adverse weather conditions such as typhoons or blizzards, a decision on whether to cancel the trip will be made one day before departure (18:00 local time), and you will be notified by email or telephone message at any time thereafter.
15. If the trip cannot be completed due to force majeure or unforeseen circumstances such as weather conditions or emergencies, all fees will be refunded without any penalty for breach of contract.
