I. Registration Notice

1. Minimum Group Size and Tour Guide Arrangements

The minimum group size is 2 people. The entire itinerary will be hosted by a local professional Chinese or English-speaking tour guide. The specific language of the tour guide is subject to the final arrangement.

2. Group Tour Information and Customer Service Contact

This is a group tour for individual travelers. Please understand that you will be traveling in the same vehicle with other tourists participating in the same itinerary. If you encounter any issues during the trip, please contact Aurora Adventures customer service promptly at 907-600-3539.

3. Flight Booking Advice

It is recommended that you purchase your flight tickets only after receiving the official confirmation notice to avoid losses due to the itinerary not being confirmed or being subject to adjustments.

4. Safekeeping of Personal Belongings

Please properly safeguard your personal travel documents, passport, flight tickets, credit cards, cash, and other carry-on items. It is recommended to keep valuables with you at all times and avoid leaving them in the vehicle or entrusting them to others. During the trip, if any items are damaged, lost, or stolen due to poor personal safekeeping or other reasons not attributable to our company, the relevant losses shall be borne by the tourist, and our company will not assume any liability for compensation.

5. Tour Discipline and Responsibility for Leaving the Group

To ensure the safety of all group members and the smooth operation of the itinerary, if a tourist's personal behavior seriously hinders group activities and does not improve after repeated advice from the tour guide, our tour guide has the right to terminate their participation in the tour. From the moment of leaving the group, all subsequent actions and related responsibilities of the tourist shall be borne by the individual, and our company will not be held liable. Unused itinerary segments, services, and related fees will not be refunded, compensated, or transferred.

6. Entry Documents and Procedures

Before registering and traveling, please confirm on your own that you hold a valid passport, US visa, and other necessary travel documents that meet entry requirements, and complete the EVUS registration (if applicable) or other necessary entry procedures according to your personal situation. It is recommended to book our company's products only after confirming that your relevant documents and procedures meet the requirements.

7. Liability for Failure to Enter the Country

If you are denied entry into the United States due to personal documents, visas, EVUS registration, entry qualifications, or other personal reasons, the paid itinerary fees will not be refunded, and our company will not assume any other losses or compensation responsibilities arising therefrom.

8. Booking and Cancellation of Optional Activities

Daily quotas for optional activities are limited; it is recommended to book them together with the main itinerary. If an optional activity cannot proceed and is cancelled due to weather conditions as confirmed by our company and the service provider, the paid fees for that activity will be fully refunded. If the activity is cancelled or not attended due to the tourist's personal reasons, the relevant fees will not be refunded or compensated.

9. Itinerary Timing

The times indicated in the itinerary are for reference only. If they differ from the times notified by the tour guide on-site, please follow the times notified by the tour guide based on actual local conditions.

10. Reference Hotels and Adjustments

The hotels listed in the itinerary are for reference only. In the event of full occupancy or other operational circumstances, our company reserves the right to replace them with hotels of the same grade, subject to final confirmation and arrangements.

11. Force Majeure, Accidents, and Flight Changes

In the event that the itinerary cannot proceed as planned due to force majeure or other accidents beyond our control, including but not limited to natural disasters, severe weather, strikes, major infectious diseases, government actions, road closures, traffic congestion, as well as flight or train delays, changes, or cancellations, which may endanger the safety of tourists or their property, our company has the right to take necessary measures based on the actual situation, including adjusting the order of the itinerary, timing, transportation, accommodation, or sightseeing content, replacing relevant items, or cancelling part or all of the itinerary.

If the itinerary is adjusted, delayed, shortened, cannot be attended, or partially or fully cancelled due to the above reasons, the paid tour package fees will not be refunded or compensated. Unused hotel, transportation, tour guide, dining, admission tickets, and other services within the package will not be cashed out or refunded separately. This product is priced and arranged as a comprehensive package, and the settlement arrangements between our company and relevant suppliers do not affect the application of the refund and change rules for this product, unless otherwise explicitly agreed upon in this registration notice or specific product descriptions.

Flight tickets and transportation to and from the departure point of the itinerary are to be booked and arranged by the tourists themselves. If the tourist fails to arrive on time, cannot participate, or misses part of the itinerary due to delays, changes, or cancellations of flights or other transportation, the relevant tour package fees will not be refunded or compensated. Any resulting additional expenses such as hotel extensions, transportation, dining, flight rebooking, and other costs shall be borne by the tourist. If actual conditions permit, our company may assist the tourist in connecting to the subsequent itinerary, subject to the feasibility of arrangements at that time.

12. Safety Precautions During the Trip

When stopping for sightseeing or photography during the trip, please follow the safety instructions of the tour guide and driver, and avoid staying in the middle of the road, vehicle traffic areas, or other dangerous zones.

If you encounter wild animals during the trip, please maintain a safe distance and follow the safety instructions of the tour guide and on-site staff. Do not actively approach, feed, chase, or disturb them.

If traffic accidents, personal injury, property loss, or other consequences occur due to the tourist's failure to comply with safety instructions or other personal behavior, the relevant responsibilities and losses shall be borne by the tourist, and our company will not assume corresponding liability.

13. Itinerary Order and On-site Adjustments

Depending on the tourist's arrival date, actual operational arrangements, as well as on-site conditions such as local weather, road conditions, and the opening status of attractions, the order of sightseeing, departure times, duration of stays, or specific arrangements may be adjusted, subject to the final tour departure notice and on-site arrangements by the tour guide.

If the main itinerary content can still be provided, no refund will be given for adjustments to the order, timing, or specific arrangements. If part of the itinerary content cannot be arranged due to objective reasons, the relevant fees will be handled in accordance with Article 11; separately paid optional activities will be handled in accordance with Article 8.

14. Travel Insurance

Illness, physical discomfort, emergencies, as well as flight or train delays, changes, or cancellations may affect the tourist's travel arrangements. Travel insurance should be selected and purchased by the tourist according to their own situation. It is recommended to choose insurance products that include coverage for trip cancellation or interruption, accidental injury, medical and emergency rescue, and luggage loss to reduce potential losses from paid expenses such as flight tickets, hotels, and tour fees. Specific coverage scope, exclusions, and claims conditions are subject to the terms of the purchased insurance and the audit results of the insurance company.

15. Itinerary Vehicle Arrangements

Our company will prioritize arranging a 14-seater commercial vehicle based on the number of group members, amount of luggage, and actual operational conditions. Due to peak seasons, holidays, vehicle scheduling, maintenance, weather, road conditions, or other operational factors, our company reserves the right to adjust to other vehicle types suitable for the actual itinerary needs, subject to final arrangements.

16. Cancellation of Fly to Arctic Circle Itinerary

Flight arrangements for the fly-in/drive-out and fly-in/fly-out Arctic Circle itineraries may be affected by weather and aviation operational conditions. If the aviation operator confirms that the itinerary cannot proceed due to weather conditions and notifies our company, and our company confirms the cancellation accordingly, the paid fees for that itinerary will be fully refunded.

17. Meeting and Transfer Arrangements

Please arrive at the hotel lobby 5 minutes before the designated meeting time. Due to factors such as traffic conditions, weather, and multiple hotel pick-up arrangements, the vehicle arrival time may fluctuate reasonably. Please wait patiently in the hotel lobby.

To ensure the experience for other guests and the overall itinerary, the vehicle will depart at the scheduled time and cannot wait for late arrivals. If a guest fails to meet on time or cannot participate in the day's itinerary due to illness, unexpected accidents, boarding the wrong vehicle, oversleeping, or other personal reasons, it will be considered a voluntary forfeiture, and no refunds or compensation will be provided.

18. Aurora Viewing Notes

The aurora is a natural phenomenon; its appearance time, duration, color, shape, and intensity cannot be controlled and are easily affected by weather, cloud cover, visibility, and solar activity. Therefore, our company does not guarantee that the aurora will be visible. If the aurora viewing itinerary has been provided as planned but the aurora is not observed due to natural conditions, it will not be considered a cancellation or failure to provide service, and no refunds or compensation will be provided.

19. Winter Warmth and Electronic Equipment Protection

Temperatures in Alaska are low in winter and weather conditions can change rapidly. Please check the weather forecast before your trip and prepare cold-weather gear such as down jackets, thermal pants or ski pants, gloves, hats, snow boots, and heat packs based on your personal needs.

Electronic devices such as mobile phones and cameras may experience faster battery drainage, automatic shutdowns, battery failure, or equipment malfunctions in low-temperature environments. Please take your own measures to keep your equipment warm and prepare backup power sources. Guests are responsible for any consequences, including frostbite, physical discomfort, equipment damage, or other losses, resulting from insufficient preparation for personal warmth or equipment protection.

20. Physical Condition and Suitability for the Tour

Pregnant women, individuals with limited mobility, and guests whose physical condition may not be suitable for cold environments, long-distance travel, or outdoor activities should inform us at the time of booking. If necessary, it is recommended to consult a doctor before traveling. Guests requiring special assistance should also inform us in advance so that we can evaluate the situation based on the itinerary characteristics and actual reception conditions.

If a guest fails to disclose in advance any physical condition that may affect the safety of the tour or the itinerary, or does not exercise caution in joining the tour based on their own condition, the guest shall bear the responsibility for any resulting personal injury, trip interruption, or other losses.

1. Local hotel check-out time is usually 11:00 AM; please refer to the hotel's actual regulations.

2. For domestic flights within the United States, it is recommended to arrive at the airport at least 2 hours in advance to complete check-in, baggage check, and security procedures.

3. The drive from the Aurora Glass Igloo back to the airport takes approximately 1.5 hours; please choose your departure flight time reasonably.

4. You can book the hotel shuttle service to the airport or train station for free; please make a reservation with the hotel front desk in advance.

1. Fairbanks Airport travel agency provides free airport pick-up service during fixed time periods.

  • Fairbanks Airport - Travel agencies offer complimentary airport pick-up services during designated hours (please book at least 72 hours in advance):
  • For each order arriving at Fairbanks Airport within a fixed time period, the travel agency can provide one free airport pick-up service. Please provide detailed flight information when booking the pick-up service after placing your order.
