I. Registration Notice
1. Minimum Group Size and Tour Guide Arrangements
The minimum group size is 2 people. The entire itinerary will be hosted by a professional local Chinese or English-speaking tour guide. The specific language of the guide is subject to final arrangements.
2. Group Tour Information and Customer Service Contact
This is a group tour for individual travelers. Please understand that you will be traveling in the same vehicle with other tourists participating in the same itinerary. If you encounter any issues during the trip, please contact Aurora Adventures customer service promptly at 907-600-3539.
3. Flight Booking Advice
We recommend that you purchase your flight tickets only after receiving the official confirmation notice to avoid losses due to the itinerary not being confirmed or being subject to adjustments.
4. Personal Belongings Security
Please keep your personal travel documents, passport, flight tickets, credit cards, cash, and other personal items secure. It is recommended to keep valuables with you at all times and avoid leaving them in the vehicle or entrusting them to others. During the trip, if items are damaged, lost, or stolen due to poor personal care or other reasons not attributable to our company, the related losses shall be borne by the tourist, and our company will not be held liable for any compensation.
5. Tour Discipline and Responsibility for Leaving the Group
To ensure the safety of all group members and the smooth operation of the itinerary, if a tourist's personal behavior seriously disrupts group activities and does not improve after repeated warnings from the tour guide, our guide has the right to terminate their participation in the tour. From the moment of leaving the group, all subsequent actions and related responsibilities of the tourist shall be borne by the individual, and the company will not be held responsible. Unused itinerary portions, services, and related fees will not be refunded, compensated, or transferred.
6. Entry Documents and Procedures
Before registering and traveling, please confirm that you hold a valid passport, US visa, and other necessary travel documents that meet entry requirements. Complete EVUS registration (if applicable) or other necessary entry procedures based on your personal situation. It is recommended to confirm that your documents and procedures meet the requirements before booking our company's products.
7. Responsibility for Entry Denial
If you are denied entry to the United States due to personal documents, visas, EVUS registration, entry qualifications, or other personal reasons, the paid tour fees will not be refunded, and our company will not be held liable for any other losses or compensation resulting from this.
8. Booking and Cancellation of Optional Activities
Optional activities have limited daily spots; it is recommended to book them together with the main itinerary. If an optional activity cannot proceed due to weather conditions and is confirmed as cancelled by our company and the activity provider, the paid fees for that activity will be fully refunded. If the cancellation or failure to participate is due to personal reasons of the tourist, the related fees will not be refunded or compensated.
9. Itinerary Timing
The times indicated in the itinerary are for reference only. If they differ from the times notified by the tour guide on-site, please follow the times notified by the guide based on actual local conditions.
10. Reference Hotels and Adjustments
The hotels listed in the itinerary are for reference only. In the event of hotel overbooking or other operational circumstances, our company reserves the right to replace them with hotels of the same category. Final arrangements are subject to actual confirmation.
11. Force Majeure, Accidents, and Flight Changes
In the event of force majeure or other accidents beyond our control, including but not limited to natural disasters, severe weather, strikes, major infectious diseases, government actions, road closures, traffic congestion, as well as flight or train delays, changes, or cancellations, which result in the inability to proceed with the itinerary as planned or pose a risk to the safety of tourists or their property, our company reserves the right to take necessary measures based on the actual situation, including adjusting the order of the itinerary, timing, transportation, accommodation, or sightseeing content, replacing related items, or cancelling part or all of the itinerary.
If the itinerary is adjusted, delayed, shortened, or partially or fully cancelled due to the above reasons, the paid tour package fees will not be refunded or compensated. Unused hotel, transportation, tour guide, dining, admission tickets, and other services within the package will not be cashed out or refunded separately. This product is priced and arranged as a complete package, and the settlement arrangements between our company and relevant suppliers do not affect the application of the refund and change rules for this product, unless otherwise explicitly agreed upon in this Registration Notice or specific product descriptions.
Flight tickets and transportation to and from the departure point of the itinerary are to be booked and arranged by the tourists themselves. If the tourist fails to arrive on time, cannot participate, or misses part of the itinerary due to delays, changes, or cancellations of flights or other transportation, the related tour package fees will not be refunded or compensated. Any resulting additional expenses such as hotel extensions, transportation, dining, flight changes, and other costs shall be borne by the tourist. If actual conditions permit, our company may assist the tourist in connecting with the subsequent itinerary, subject to the feasibility of arrangements at that time.
12. Safety Precautions During the Trip
When stopping for sightseeing or photography during the trip, please follow the safety instructions of the tour guide and driver, and avoid staying in the middle of the road, vehicle traffic areas, or other dangerous zones.
If you encounter wild animals during the trip, please keep a safe distance and follow the safety instructions of the tour guide and on-site staff. Do not actively approach, feed, chase, or disturb them.
If traffic accidents, personal injury, property damage, or other consequences occur due to the tourist's failure to follow safety instructions or other personal behavior, the related responsibilities and losses shall be borne by the tourist, and our company will not be held liable.
13. Itinerary Sequence and On-site Adjustments
Based on the tourist's arrival date, actual operational arrangements, as well as local weather, road conditions, and attraction opening status, the sequence of sightseeing, departure times, stay durations, or specific arrangements may be adjusted. Final arrangements are subject to the final tour departure notice and on-site arrangements by the tour guide.
If the main itinerary content can still be provided, no refund will be given for adjustments to the sequence, timing, or specific arrangements. If part of the itinerary content cannot be arranged due to objective reasons, the related fees will be handled according to Article 11. Separately paid optional activities will be handled according to Article 8.
14. Travel Insurance
Illness, physical discomfort, emergencies, as well as flight or train delays, changes, or cancellations may affect the tourist's travel arrangements. Travel insurance must be chosen and purchased by the tourist according to their own situation. We recommend choosing insurance products that include coverage for trip cancellation or interruption, accidental injury, medical and emergency rescue, and luggage loss to reduce potential losses from paid expenses such as flight tickets, hotels, and tour fees. Specific coverage scope, exclusions, and claims conditions are subject to the terms of the purchased insurance and the audit results of the insurance company.
15. Itinerary Vehicle Arrangements
Our company will prioritize arranging 14-seater commercial vehicles based on the number of participants, amount of luggage, and actual operational conditions. Due to peak seasons, holidays, vehicle scheduling, maintenance, weather, road conditions, or other operational factors, our company reserves the right to adjust to other vehicle types suitable for the actual itinerary needs. Final arrangements are subject to the final confirmation.
16. Cancellation of Fly to Arctic Circle Itinerary
Flight arrangements for the Fly-in/Drive-out and Fly-in/Fly-out Arctic Circle itineraries may be affected by weather and aviation operational conditions. If the aviation operator confirms that the itinerary cannot proceed due to weather and notifies our company, and our company confirms the cancellation accordingly, the paid fees for that itinerary will be fully refunded.
17. Meeting and Transfer Arrangements
Please arrive at the hotel lobby 5 minutes before the designated meeting time. Due to factors such as traffic conditions, weather, and multiple hotel pick-up arrangements, the vehicle arrival time may fluctuate slightly; please wait patiently in the hotel lobby.
To ensure the experience for other guests and the overall itinerary, the vehicle will depart at the designated time and cannot wait for late arrivals. If a guest fails to meet on time or is unable to participate in the day's itinerary due to illness, unexpected accidents, boarding the wrong vehicle, oversleeping, or other personal reasons, it will be considered a voluntary forfeiture, and no refunds or compensation will be provided.
18. Aurora Viewing Notice
The aurora is a natural phenomenon. Its appearance time, duration, color, shape, and intensity cannot be controlled and are easily affected by weather, cloud cover, visibility, and solar activity. Therefore, our company does not guarantee that the aurora will be visible. If the aurora viewing itinerary is provided as planned but the aurora is not observed due to natural conditions, it will not be considered a cancellation or failure to provide service, and no refunds or compensation will be provided.
19. Winter Warmth and Electronic Device Protection
Temperatures in Alaska are low in winter and weather conditions can change rapidly. Please check the weather forecast before your trip and prepare cold-weather gear such as down jackets, thermal pants or ski pants, gloves, hats, snow boots, and heat packs according to your personal needs.
Electronic devices such as mobile phones and cameras may experience faster battery drainage, automatic shutdown, battery failure, or device malfunctions in low-temperature environments. Please take measures to keep your devices warm and prepare backup power sources. The guest shall bear all consequences, including frostbite, physical discomfort, equipment damage, or other losses, resulting from insufficient personal warmth or device protection.
20. Physical Condition and Suitability for the Tour
Pregnant women, individuals with limited mobility, and guests whose physical condition may not be suitable for cold environments, long-distance travel, or outdoor activities should inform us at the time of booking. If necessary, it is recommended to consult a doctor before traveling. Guests requiring special assistance should also inform us in advance so that we can evaluate the situation based on the itinerary characteristics and actual reception conditions.
If a guest fails to inform us in advance of any physical condition that may affect the safety of the tour or the itinerary, or fails to exercise caution in joining the tour based on their own condition, the guest shall bear all responsibility for any resulting personal injury, trip interruption, or other losses.
II. Departure Reminders
1. Local hotel check-out time is usually 11:00 AM; please refer to the hotel's specific policies.
2. For domestic flights within the United States, it is recommended to arrive at the airport at least 2 hours in advance to complete check-in, baggage drop, and security procedures.
3. The drive from the lodge to the airport takes approximately 1.5 hours; please choose your departure flight time accordingly.
4. You can book a complimentary hotel shuttle for airport or station drop-off; please reserve this with the hotel front desk in advance.

5. If you plan to stay in Fairbanks after the tour ends, you may choose to extend your hotel stay in advance.
