I. Registration Instructions
1. Group size and tour guide arrangements
The minimum group size for a tour is 2 people during autumn and off-season, while a tour can be formed with just 1 person during peak season. The entire tour will be guided by a local professional Chinese-speaking or English-speaking guide; the specific guide's language will be subject to final arrangement.
2. Group buying instructions and customer service contact information
This is a group tour for individual travelers. You will be traveling in the same vehicle with other tourists participating in the same tour. Thank you for your understanding. If you encounter any problems during the trip, please contact Aurora Adventures customer service at 907-600-3539.
3. Tips for purchasing airline tickets
We recommend that you purchase your flight tickets only after receiving official confirmation to avoid losses due to unconfirmed itineraries or changes in travel plans.
4. Safekeeping of personal belongings
Please keep your personal travel documents, passport, tickets, credit cards, cash, and other personal belongings safe. It is recommended to carry valuables with you at all times and avoid leaving them in the vehicle or entrusting them to others for safekeeping. During the trip, if any items are damaged, lost, or stolen due to the traveler's negligence or other reasons not attributable to our company, the traveler shall bear all related losses, and our company shall not be liable for any compensation.
5. Tour Participation Rules and Responsibilities for Leaving the Tour
To ensure the safety of all group members and the smooth running of the itinerary, if a tourist's behavior seriously hinders group activities and fails to improve after repeated admonitions from the tour guide, our tour guide has the right to terminate that tourist's continued participation in the tour. From the time of departure from the tour, all subsequent actions and related responsibilities of the tourist shall be borne by the tourist themselves, and our company shall not be held liable. Unused itinerary, services, and related fees are non-refundable, non-compensatory, and non-transferable.
6. Entry documents and procedures
Please ensure you possess a valid passport, U.S. visa, and other necessary travel documents that meet entry requirements before registering and traveling. Please also complete EVUS registration (if applicable) or other necessary entry procedures as needed. We recommend booking our products only after confirming that your documents and procedures meet the requirements.
7. Explanation of responsibility for failure to enter the country
If you are not granted entry to the United States due to personal documents, visa, EVUS registration, entry eligibility, or other personal reasons, the travel expenses already paid will not be refunded, and our company will not be liable for any other losses or compensation arising therefrom.
8. Booking and cancellation of optional activities
Optional excursions have limited daily availability, so it is recommended to book them together with your main itinerary. If an optional excursion is cancelled due to weather conditions, as confirmed by our company and the excursion provider, the full amount paid for that excursion will be refunded. If a tourist cancels or is unable to participate due to personal reasons, no refund or compensation will be provided.
9. Itinerary Time Description
The times listed in the itinerary are for reference only. If they differ from the times announced by the tour guide on-site, please refer to the times provided by the tour guide based on local conditions.
10. Recommended hotels and adjustments to arrangements
The hotels listed in the itinerary are for reference only. In case of full occupancy or other actual operational circumstances, our company reserves the right to replace them with hotels of the same standard. The final arrangement will be subject to actual confirmation.
11. Force majeure, unforeseen events, and flight changes
In the event of force majeure or other unforeseen events beyond our control, including but not limited to natural disasters, severe weather, strikes, major infectious diseases, government actions, road closures, traffic congestion, and flight or train delays, changes, or cancellations, which prevent the itinerary from proceeding as originally planned or may endanger the personal safety or property of tourists, our company has the right to take necessary measures based on the actual situation, including adjusting the itinerary order, time, transportation, accommodation, or sightseeing content, replacing relevant items, or canceling part or all of the itinerary.
In the event of itinerary adjustments, delays, shortenings, inability to participate, or partial or complete cancellation due to the aforementioned reasons, the paid tour package fee will not be refunded or compensated. Unused hotel rooms, transportation, tour guides, meals, tickets, and other services included in the package will not be separately converted into cash or refunded. This product is priced and arranged as a complete package, and the settlement arrangements between our company and the relevant suppliers do not affect the applicability of this product's refund and modification policy. Exceptions apply if otherwise expressly agreed in this registration notice or specific product description.
Airfare and transportation to and from the departure point are to be booked and arranged by the traveler. If a traveler is unable to arrive on time, participate in, or miss part of the itinerary due to flight delays, changes, or cancellations or other means of transportation, the relevant tour package fee will not be refunded or compensated. Any resulting costs, including extended hotel stays, transportation, meals, flight rebookings, and other additional expenses, will be borne by the traveler. If conditions permit, our company can assist travelers with connecting to subsequent itineraries, subject to availability at the time.
12. Safety Precautions During the Trip
When stopping for sightseeing or taking photos during the trip, please follow the safety instructions of the tour guide and driver, and avoid staying in the middle of the road, in areas where vehicles pass, or in other dangerous areas.
If you encounter wild animals during your trip, please keep a safe distance from them and follow the safety instructions of your guide and on-site staff. Do not approach, feed, chase, or disturb them.
If a traffic accident, personal injury, property damage, or other consequences occur due to a tourist's failure to comply with safety instructions or other personal actions, the tourist shall bear all related responsibilities and losses, and our company shall not bear any corresponding responsibility.
13. Itinerary sequence and on-site adjustments
Depending on the tourists' arrival date, actual operational arrangements, and on-site conditions such as local weather, road conditions, and attraction opening status, the itinerary's order of visits, departure time, stay duration, or specific arrangements may be adjusted. The final tour confirmation and the guide's on-site arrangements shall prevail.
If the main itinerary can still be provided as normal, no refund will be given if the order, time or specific arrangements of the tour are adjusted; if some itinerary items cannot be arranged due to objective reasons, the relevant fees will be handled in accordance with Article 11; separately paid optional activities will be handled in accordance with Article 8.
14. Travel Insurance
Illness, physical discomfort, emergencies, and flight or train delays, changes, or cancellations may all affect travelers' travel arrangements. Travel insurance must be selected and purchased by travelers themselves based on their individual circumstances. It is recommended to choose insurance products that include coverage for trip cancellation or interruption, accidental injury, medical and emergency rescue, and baggage loss to mitigate potential losses from already paid expenses such as airfare, hotel, and tour fees. Specific coverage, exclusions, and claim conditions are subject to the terms of the purchased insurance policy and the insurance company's review.
15. Vehicle Arrangements for the Trip
Our company will prioritize arranging 14-seat business vehicles based on the number of participants, the amount of luggage, and actual operational conditions. Due to peak seasons, holidays, vehicle scheduling, maintenance, weather, road conditions, or other operational factors, our company reserves the right to adjust to other vehicle types suitable for the actual itinerary. The final arrangement shall prevail.
16. The Arctic Circle flight trip has been cancelled.
Flight arrangements for Arctic Circle flights to/from the airport and return trips may be affected by weather and aviation operating conditions. If, due to weather conditions, the airline confirms that the trip cannot proceed and notifies our company, and our company confirms cancellation accordingly, the trip fee already paid will be fully refunded.
17. Meeting and Pick-up Arrangements
Please arrive at the hotel lobby 5 minutes before the designated meeting time. Due to factors such as road conditions, weather, and multiple hotel pick-up and drop-off arrangements, the vehicle's arrival time may vary slightly. Please wait patiently in the hotel lobby.
To ensure the safety of other tourists and the overall itinerary, vehicles will depart at the designated meeting time, and no extensions will be provided for latecomers. If a tourist is unable to meet on time or participate in the day's itinerary due to illness, unforeseen circumstances, boarding the wrong vehicle, not waking up on time, or other personal reasons, it will be considered a voluntary waiver, and no refunds or compensation will be provided.
18. Instructions for Aurora Observation
The aurora is a natural phenomenon, and its appearance, duration, color, shape, and intensity are all beyond human control. It is also easily affected by factors such as weather, cloud cover, visibility, and solar activity. Therefore, our company does not guarantee that the aurora will be observed. If the aurora viewing itinerary has been provided as planned, but the aurora is not observed due to natural conditions, this will not be considered a cancellation of the itinerary or a failure to provide the service, and related fees will not be refunded or compensated.
19. Winter warmth and protection of electronic equipment
Alaska's winters are cold and the weather is highly variable. Please check the weather forecast before you travel and prepare appropriate cold-weather gear such as down jackets, thermal pants or ski pants, gloves, hats, snow boots, and hand warmers.
Mobile phones, cameras, and other electronic devices may experience faster battery drain, automatic shutdown, battery failure, or device malfunction in low temperatures. Please ensure your devices are properly insulated and have backup power. Any consequences arising from inadequate personal warmth or equipment protection, including frostbite, discomfort, damage to electronic devices, or other losses, will be the sole responsibility of the traveler.
20. Physical condition and suitability for joining the tour
Pregnant women, people with mobility impairments, and tourists whose physical conditions may not be suitable for cold environments, long-distance travel, or outdoor activities should indicate this when registering; if necessary, it is recommended to consult a doctor before departure. Tourists requiring special assistance should also inform us in advance so that our company can assess the situation based on the characteristics of the itinerary and actual reception conditions.
If tourists fail to disclose their physical condition in advance that may affect the safety or itinerary of the tour, or fail to carefully consider their own circumstances before joining the tour, they shall bear the relevant responsibilities for any personal injury, itinerary interruption or other losses caused thereby.
